Terms & Conditions for participation AU International Office Academic Affairs Programs and Activities

Effective date: 9 November 2025

By registering for any program or activity organized by the Office of International Academic Affairs (OIAA) at Ajman University (AU), you acknowledge that you have read, understood, and agree to these Terms & Conditions. If you are under 21 years old, your parent or legal guardian must provide consent as described below.

1. Acceptance of Terms & Electronic Signature

Your registration is submitted only after you click to agree to these Terms & Conditions. Once submitted, they are legally binding on both parties.

2. Personal Capacity; No AU Agency

You understand that you do not represent Ajman University in OIAA programs or activities. These Terms create no obligations or duties on AU beyond what is expressly stated here.

3. General Release & Waiver of Claims

You hereby release and forever discharge AU and its affiliates, successors, officers, employees, representatives, partners, and agents (collectively, the "Released Parties") from any and all claims, liabilities, obligations, promises, agreements, disputes, demands, damages, and causes of action of any nature, known or unknown, arising out of or related to OIAA programs or activities.

This Release is not an admission of liability by AU and is binding on you and your heirs, administrators, personal representatives, executors, successors, and assigns. You affirm that you have the authority to provide this Release and have not assigned any such claims to others. The provisions of this Release are severable. This Release supersedes all prior oral or written understandings concerning its subject matter.

4. Travel Health Insurance

  • Recommended: All participants are recommended to purchase travel health insurance covering their participation in the UAE.
  • If you have insurance: You agree to provide proof of coverage upon request (insurer name, policyholder, policy number, and insurer contact).
  • If you do not have insurance: You agree that participation is at your own risk, you accept all responsibility, and you will not bring claims against AU or the program organizers related to your participation.

5. Program Participation & Certification

You are registering for a specific tour with a defined itinerary and schedule. By registering, you commit to attending and completing the program in full.

A Certificate of Completion is issued only to participants who complete the entire tour. Partial attendance does not qualify, and any certificate is invalid if the full program is not completed. We recognize that participants may feel tired or may wish to do additional sightseeing on their own, but you are signing up for this specific tour and are expected to follow it as scheduled.

6. Attendance & Exemptions

Attendance at all scheduled sessions and activities is mandatory. Participants may not skip sessions or arrange their own alternative activities.

Exemptions from individual sessions may be granted only for valid reasons, such as a medical or physical condition that makes a particular activity unsuitable (for example, a dune safari may involve too much movement for some participants). Exemption requests must be submitted in advance and approved by OIAA. Sessions missed without an approved exemption may affect your eligibility for certification.

7. Transportation

All participants must travel together on the official program transport (bus) at all times. Private vehicles, rented cars, taxis, and any other independent transport are not permitted for program activities.

You must be on the bus for every scheduled transfer and departure. Independent travel between program locations is not allowed.

8. Punctuality & Extended Stays

Participants must arrive on time for all departures, sessions, and activities. The group will depart at the scheduled time and the itinerary will not be delayed for late participants.

If you wish to remain at a location beyond the scheduled program, this is permitted only if arranged and approved in advance. Last minute or independent changes to the itinerary are not allowed.

9. Governing Law & Jurisdiction

These Terms are governed by the laws of the UAE. In the event of any litigation between you and AU, only UAE courts have jurisdiction and UAE law applies.

10. No Admission; Entire Agreement; Severability

Nothing in these Terms shall be construed as an admission by AU of wrongdoing or liability. These Terms constitute the entire agreement regarding their subject matter and supersede any prior understandings. If any provision is held invalid or unenforceable, the remaining provisions remain in full force.

11. Age & Parental/Guardian Consent (Under 21)

If you are under 21 years old, your parent or legal guardian must consent on your behalf. By registering, you confirm that such consent has been obtained and can be provided to AU upon request.

12. Acknowledgment of Understanding

You acknowledge that you have had the opportunity to review these Terms and to consult legal counsel before agreeing; that you have read and understand them; and that you freely and voluntarily agree to be bound.

Certificates are issued only to participants who complete the full tour. All travel must be on the official program bus, and any extended stay must be approved in advance. Travel health insurance is recommended; if you do not have coverage, you accept full responsibility for participation risks and waive related claims.
